Booking Terms & Conditions

At Churchdown Osteopaths, we aim to provide thoughtful, patient-centred care in a welcoming and professional environment. These Booking Terms & Conditions are designed to help appointments run smoothly and ensure expectations are clear for everyone.

Booking appointments

When booking an appointment, please ensure that the contact details you provide are accurate. If your address, telephone number or email address changes, please let us know as soon as possible so that we can communicate with you about your care and appointments.

Fees and payment

Our current fees are published on our Fees page and may be updated from time to time.

Payment is requested on the day of your appointment unless agreed otherwise. If you are claiming through private health insurance, we are happy to provide a receipt for your claim.

Cancellation policy

If you need to cancel or rearrange your appointment, we kindly ask for as much notice as possible.

Appointments cancelled with less than 24 hours' notice, or appointments that are missed without notice, may be subject to a cancellation charge.

We understand that unexpected situations can arise and always aim to apply this policy fairly and reasonably. Further information about our fees and how we would normally apply our cancellation policy in practice can be found on our Fees page.

If you are running late or unwell

If you expect to arrive late, please contact the practice as soon as possible. Depending on the circumstances, we may need to shorten or rearrange your appointment.

If you are unwell before your appointment, please contact the practice to discuss the most appropriate course of action before attending.

Shared decision-making and consent

We believe that the best healthcare decisions are made together.

Your osteopath will explain any examination or treatment they recommend and answer any questions you may have. You are encouraged to take an active role in decisions about your care and may decline any aspect of examination or treatment or withdraw your consent at any time.

Clinical recommendations

Your osteopath will always act in your best interests. In some circumstances, they may recommend further investigations, referral to another healthcare professional, or advise that osteopathic treatment is not appropriate or should be postponed.

Children and young people

Patients under the age of 16 should attend with a parent or legal guardian, who will remain present throughout the consultation and treatment.

If you would prefer to discuss sensitive matters relating to your child in private, please contact the practice in advance or speak with your osteopath before the consultation begins.

Having someone present during your appointment

If you would like another person to be present during your consultation or treatment, you are welcome to bring a family member or friend.

If you would prefer a practice chaperone, please let us know in advance where possible. While we will always try to accommodate requests, this may not be possible in every circumstance.

Privacy

We take your privacy seriously. Personal information and clinical records are handled in accordance with our Privacy Policy, which explains how we collect, use, store and protect your information.

Questions, concerns and complaints

If you have any questions or concerns about your care or your experience with the practice, we encourage you to speak to your osteopath in the first instance wherever possible. Alternatively, you are welcome to contact a member of our reception team or our Practice Manager, who will be happy to help.

We value open communication and will always do our best to resolve concerns promptly and fairly. If you wish to make a formal complaint, details of our Complaints Policy are available on our website.
